Meeting rooms in office space rental buildings are intended to be used for–you guessed it–meetings. So, you might be surprised to learn that a recent study found that meeting rooms in many workplaces were primarily used by just one person. Today, 191 Works delves into this finding and shares tips on how best to utilize your own office meeting room.
Highlights of the Study
This study was conducted by the Mid-Year 2019 Workplace Utilization Index from Density, a space utilization analytics platform. Based on more than 10,000 hours of usage data tracking by Density’s people count sensor platform, the study analyzed a total of 60 meeting rooms over a six-month data set. It revealed inconsistencies between the design of these meeting rooms and how they were actually utilized.
For instance, only one person occupied the meeting rooms 36 percent of the time. Two to four people did so 40% of the time. Only 6% of the meetings included at least 10 people, which meant large meetings were a rarity. Meetings with the most attendees often only utilized nearly half of the room’s capacity.
What the Report Means
The report brought to light a glaring realization—that businesses lose millions of dollars every year due to constructing and then failing to properly utilize overly spacious meeting rooms.
So, what can your business do to avoid this problem? First, it’s critical to track how your office space is actually utilized before investing in a new or larger space. One conclusion from the report was that individual employees were using meeting rooms designed for groups to take private calls due to a lack of private space within the office space.
Meeting rooms can be quite expensive, and the data reveal that most companies don’t even use them as intended. Businesses should look for more cost-effective and mission-appropriate alternatives, like a meeting space rental.
